RampU Student Life Events & Guest Hospitality Coordinator
Assist with planning and executing external and internal experiences connected to Ramp University including but not limited to guest speaking events, College Days, Intensives, Orientations and Arrivals, Graduation Week events, and all student-specific events hosted by Student Life.

FUNCTIONS
Essential Functions & Responsibilities
Guest Hospitality:

Gain complete understanding of the requirements for each guest speaker and/or event.

Book lodging, coordinate food and beverage, assemble gift basket(s), and communicate necessary details to RU personnel responsible for hosting.

Assist with communication to guests and/or guest contact speaking at RU.
Event Coordination:

Research vendors and make selections with Directors based on creativity, quality, and cost.

Research resources, make site visits (when necessary), and lead pre-event meetings to help make decisions about event.

Maintain and build a comprehensive database of vendors and venues.

Book venues, vendors, and guests and continue communication to confirm day-of logistics.

Work with Directors and Pastors to develop content for event materials (registration page info and design, event manuals/programs, t-shirts, attendee gifts, signage, etc) and work with Ramp Media and/or Ramp Resources to produce materials.

Day-to-day administration of planning including placing orders, creating timelines and order of events, marketing materials, monitoring vendors, guest communication, lodging and travel logistics, food and beverage requests, facilitating staff involvement, day-of logistics, venue preparation, decor, monitoring registration, answering questions and resolving issues.

Assign personnel as needed across all functions of an event (setup, registration, food and beverage, audio/visual, serve teams, etc.) in conjunction with Ramp Events Dept and RU Student Life teams where applicable.

Coordinate with internal staff, guests, vendors to establish needs for events, and serve as liaison between RU team, Ramp Events, speakers, and event attendees.

Facilitate prep, day-of execution, and wrap up of all plans including troubleshooting any issues that arise in connection to the event or guest(s).

As a Student Life Events and Guest Hospitality Coordinator, you will have hands-on ministry experience, specifically in the arenas of ministry administration, leadership, and discipleship. This will bring further understanding and growth of one-on-one ministry, discipleship training, the role of a pastor, and more while working within a variety of parameters laid out by the Student Life Pastors. You will also receive personal discipleship, teaching, and relational investment from RU staff and faculty.
